Privacy Policy
This Privacy Policy describes how Ship System (theshipsystem.com) (“we”, “us”) collects, uses, and stores information in connection with our internal operations software and related integrations, including the ShipSys Meta (Facebook) application used with the Meta Marketing API.
Who this applies to
Ship System is a private business tool used by our team to manage orders, email, reporting, and advertising operations for our brands. It is not a consumer-facing social login product. This policy covers data processed through Ship System and the ShipSys Meta app.
Information we process
Depending on how the system is used, we may process:
- Staff account details (name, login session identifiers).
- Business operational data (orders, customers, suppliers, emails, attachments) entered or synced into Ship System.
- Meta Marketing API data accessed via a Business / System User token, such as ad account identifiers, campaigns, ad sets, creatives, ads, and related performance or configuration fields needed to create and manage advertising.
- Technical logs (timestamps, API errors, IP addresses in server logs) for security and troubleshooting.
How we use information
We use this information to:
- Operate Ship System for our internal business workflows.
- Create, review, and manage Meta ads on ad accounts we own or administer.
- Maintain security, prevent abuse, and diagnose faults.
- Comply with legal and platform (including Meta) requirements.
We do not sell personal information. We do not use the ShipSys Meta app to collect data from people who merely view our ads beyond what Meta already provides to advertisers under Meta’s own policies.
Meta / Facebook data
When connected to Meta, Ship System uses server-stored access tokens to call Meta’s Marketing API on our behalf. Meta data is used only to manage advertising for our businesses. We do not share Meta-derived personal data with unrelated third parties. Token and account credentials are stored on our servers and are not exposed to end users of the public website.
Use of Meta products is also subject to Meta’s Privacy Policy and Meta Advertising Policies.
Google user data
Ship System can connect to a Google account we own using Google OAuth with the read-only Google Drive scope. This is used only to search for and link to order artwork files (for example files named “J-12345”) for our staff. We do not modify, delete, download for other purposes, sell, or share Google Drive data, and we do not use it for advertising. A refresh token is stored on our server so the search can run; access can be revoked at any time from the Google account’s security settings.
Ship System’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Storage and security
Data is stored on our hosting infrastructure and protected with access controls appropriate for an internal business system (authenticated staff access, server-side API keys for machine integrations). No method of transmission or storage is completely secure; we take reasonable steps to protect information against unauthorised access.
Retention
Operational and advertising records are retained for as long as needed for business, accounting, support, and legal purposes, then deleted or archived according to our internal practices.
Sharing
We may share information with:
- Service providers who host or operate infrastructure for Ship System (under confidentiality obligations).
- Meta, when we use Meta APIs to manage ads.
- Professional advisers or authorities when required by law.
Your rights
If you are a staff user or otherwise believe we hold personal information about you in Ship System, contact us to request access, correction, or deletion where applicable under Australian privacy law. For data held by Meta about ad viewers or Meta users, use Meta’s tools and policies.
